Virtual Assistant - Property Coordinator

This is a fully remote role working from home for our client, a well-established and growing Property Management and Maintenance Company based in London. The successful applicant will work as part of a team managing the required maintenance obligations for their 600-managed properties.

The Role

The role has 3 distinct requirements.

  • Be the driving force in rolling out an ingenious access control system across the existing managed portfolio which allows communal entrance doors to be opened using a digital key on a telephone app.
  • Manage the process to ensure that new properties onboarding with the company have keys and/or the access control solution available to ensure that access to the property is always available when required.
  • Facilitate the key purchase and invoicing process for customers requiring new keys.

Duties

  • Research and identify properties that would benefit from the new access control solution. ‘Sell’ the solution to all required stakeholders, coordinate the installation, and provide ongoing customer care and contractual administration.
  • Methodically work through all new properties under management and ensure that keys and access are available for contractor, property manager or legislatively required visits.
  • Troubleshoot any difficulties encountered by stakeholders trying to access a building.

Skills & Experience

We are looking for individuals with the following skills and experience:

  • Previous job Contractor coordination experience would be preferred but not essential. An energetic and hardworking persona are more important though.
  • Professional customer service skills.
  • An analytical mindset is required to complete all required obligations within appropriate timeframes.
  • Multitasking skills required to balance numerous different projects at the same time at different stages of completion.
  • High standard of communication skills, both written and oral.
  • High attention to detail.
  • Ability to build strong working relationships.
  • Ability to work to deadlines and under pressure.
  • Business development experience would be advantageous
  • Problem-solving.

Salary, Benefits & Hours of Work

  • R18,000-R22,000 per month
  • 15 days holidays (plus UK bank holidays).
  • Standard hours - 0800-1700 UK Time, Monday-Friday
